Handheld Laser Welding Machine Order Guide 2026: Lead Time, Payment, Documents
A handheld laser welding machine ordered from a Chinese factory today takes seven to ten days to build if you pick a standard 1000W to 2000W model, and fifteen to twenty days if you want a custom cable, wire feeder or unusual voltage. Payment is 30 percent deposit, 70 percent before shipment. Four documents decide whether the container sails on time: CE with a Declaration of Conformity, an FDA accession number for the US, HS 8515.80 written on the invoice, and a packing list that matches the case stencil.
Most buyers lose money on this order in the details, not in the price. Wrong voltage, a manual nobody reads, twelve spare lenses where thirty were needed. This guide walks the sequence from proforma invoice to ETD, based on what we actually build and ship every month.
What Happens Between Your Deposit and the Container
Here is the real sequence for a 1500W water-cooled unit, the model that still accounts for most handheld volume. Nothing on this list is negotiable if you want the machine to arrive working.
| Day | What happens | What you should receive |
|---|---|---|
| 0 | Proforma invoice signed, deposit sent | PI with full spec sheet and ship date |
| 1-2 | Deposit cleared, laser source and chiller issued to the line | Material issue note or photo of the source serial |
| 3-5 | Assembly: source, gun, feeder, chiller, cabinet wiring | Nothing, this is bench time |
| 6-7 | 72-hour burn-in and power test | Test sheet with power readings |
| 8 | Weld coupons on stainless, carbon and aluminium | Photos of coupons with the serial number |
| 9 | Packing in plywood case, accessories boxed | Packing photos, gross weight, CBM |
| 10-12 | Booking, trucking to port, export declaration | Booking confirmation, then bill of lading draft |
How Long Does a Handheld Laser Welder Take to Build?
It depends on whether you are buying a model the factory already builds in batches or asking for a configuration that only exists on paper.
Standard models. 1000W, 1500W and 2000W water-cooled units with a 10 m gun cable, Raycus or Max source, built-in wire feeder: seven to ten days. These cover 63.2 percent of global handheld laser welder sales in the 1000-2000W band, with 2000-3000W taking another 26 percent, so the line is already set up for them.
Custom builds. Fifteen to twenty days for a 15 m cable, dual wavelength for aluminium, air-cooled 1200W, or a specific cabinet colour and logo. Add two to three weeks if you insist on an IPG source instead of a Chinese one.
Why the market matters to your lead time. China turned out about 170,000 handheld laser welders in 2024 against roughly 3.9 million handheld arc welders, a penetration rate of only 4.41 percent (industry data reported in 2025). Forecasts put global handheld sales near 860,000 units by 2030 and about one million by 2031, with over 70 percent of that volume Chinese. High volume is why a standard model ships in a week and a custom one does not.
The 8.8 percent annual growth of the handheld segment, from USD 612.5 million in 2025 to a projected USD 1.1 billion by 2032 (PW Consulting, February 2026), also means factories run at capacity in Q4. Book December shipments in October.
What Goes on the Proforma Invoice
A proforma invoice with only a model number and a price is not enough to build from. This is the list we ask buyers to confirm before we issue one.
| Line item | What to write | Why it matters |
|---|---|---|
| Power | 1000W / 1500W / 2000W / 3000W | Sets thickness range: 1500W welds 0.5-3 mm stainless in one pass |
| Gun cable | 10 m or 15 m | 15 m loses a little power at the tip; price is not the only trade-off |
| Wire feeder | Built-in or separate, 0.8/1.0/1.2 mm wire | Needed for gaps over 0.3 mm and for aluminium |
| Cooling | Water chiller or air cooled | Air cooled is easier to move, water cooled holds duty cycle |
| Voltage and plug | 220V single phase or 380V three phase, plug type | The single most expensive mistake on this list |
| Protective lenses | Quantity, usually 20-50 pieces | They are consumables, USD 3-8 each, and go first |
| Spare parts kit | Nozzles, feed rolls, focus lens, fuses | Cheap at the factory, slow and costly by air later |
| Manual language | English, Spanish, Russian, Arabic | Operators follow a manual in their own language |
| Warranty | 12 or 24 months, what it covers | Source is the expensive part, ask if it is covered |

Payment Terms Chinese Factories Actually Offer
The default on a first order is 30 percent T/T deposit and 70 percent before shipment. Some factories accept the balance against a copy of the bill of lading for repeat buyers, which is worth asking for once you have two clean orders behind you.
Above roughly USD 50,000, a letter of credit at sight is normal. Expect 0.1-0.3 percent in bank charges and a week of extra paperwork. Alibaba Trade Assurance or an escrow service adds about one to two percent in fees but protects the deposit if you have never worked with the supplier.
Two rules that save trouble. Never pay 100 percent in advance on a machine you have not inspected, and agree in writing who pays the transfer charges. If the invoice says USD 4,800 and your bank deducts USD 35, the factory sees a short payment and the shipment waits.
Documents That Decide Whether the Container Ships
Customs does not reject machines, it rejects paperwork. This is the folder we send with every unit.
| Document | What it must say | Issued by |
|---|---|---|
| Commercial invoice | HS code 8515.80, model, power, unit price, Incoterm | Factory |
| Packing list | Case numbers, gross and net weight, dimensions | Factory |
| CE Declaration of Conformity | EN ISO 11553-1, IEC 60825-1 Class 4, plus EMC and LVD test reports | Factory, backed by a notified test lab |
| FDA accession number | US only, product report under Laser Notice 56 | Importer files, factory supplies the report data |
| ISPM 15 mark | Heat-treated stamp on solid wood; plywood cases are exempt in most markets | Packing supplier |
| Bill of lading | Consignee, notify party, freight terms | Forwarder |
On duty: HS 8515.80 carries 2.7 percent third-country duty into the EU, and the US general rate on that heading is free. Both figures move with trade measures, so confirm the rate for your shipment date with your own broker. Never let a supplier write a different HS code to lower the duty. A wrong code is a customs penalty, and the machine is easy to identify.
How Do You Check the Machine Before It Ships?
You cannot weld with a certificate. Ask for these four things and read them like an engineer.
- 72-hour burn-in sheet. Continuous running, not a five-minute demo. It catches chiller and driver faults that only appear when the cabinet is warm.
- Power reading at the gun. Within plus or minus 5 percent of rated output, measured with a power meter, not read off the screen.
- Weld coupons with the serial number in the photo. 2 mm stainless butt joint, 3 mm carbon lap joint, 2 mm aluminium with 1.2 mm wire. You are looking for penetration, spatter and undercut, not for a pretty bead.
- A live video call. Two minutes of continuous welding with the power display visible tells you more than a folder of PDFs.
If the factory cannot show you a burn-in record, the machine was not tested. That is the moment to slow down, not after the container arrives.
Where Orders Usually Go Wrong
Voltage. A 380V three-phase machine wired into a 220V single-phase shop does not start. Send a photo of your panel and plug with the order.
Consumables. Twenty protective lenses is not enough for a two-shift operation. At USD 3-8 each they are the cheapest insurance in the order.
Packing density. One set sits in a plywood case of about 1 CBM with 60-90 kg of case, foam and accessories around a 200 kg machine. Eighteen to twenty sets fit a 20ft container, so a mixed order needs planning, not a guess.
Documentation gaps. A CE sticker without a Declaration of Conformity is a sticker. Customs officers in the EU have seen it before.
The same logic applies when you buy the sheet the welder will run on. If you are ordering stainless steel sheet with the machine, put both on one bill and save the freight.
What This Means for Your First Order
Fix the spec in writing, pay 30 percent, ask for the burn-in sheet and coupons before the balance, and check the HS code on the invoice yourself. Do those four things and the machine arrives as ordered. Skip them and you will spend the first month solving problems that cost more than the freight.
Send your voltage, material thickness and target output through the contact page and we will put a spec sheet and a ship date in front of you the same working day.
Frequently Asked Questions
How long does a handheld laser welding machine take to build after I pay the deposit?
Seven to ten days for standard 1000W, 1500W or 2000W water-cooled models that use a stock Raycus or Max source. Add five to ten days for a custom gun cable length, a wire feeder, dual wavelength or a non-standard voltage. Then add sea freight. Full specs are on the handheld laser welding machine page.
What payment terms do Chinese laser welder factories normally ask for?
Thirty percent T/T deposit with the balance before shipment, or balance against the bill of lading copy once you are a repeat buyer. Above roughly USD 50,000, a letter of credit at sight is normal and costs about 0.1-0.3 percent in bank charges. Do not pay the balance before you or a third party have seen the machine run a weld test.
What documents do I need to import a laser welding machine?
Commercial invoice and packing list with HS code 8515.80, a CE Declaration of Conformity to EN ISO 11553-1 and IEC 60825-1 (Class 4 laser product), a test report, and an FDA accession number if you ship to the United States. Third-country duty into the EU is 2.7 percent on 8515.80 and the US general rate is free, but confirm both with your customs broker before you book.
Can I order a custom gun cable length or a different voltage?
Yes. Ten and fifteen metre cables are standard options, and 220V single-phase or 380V three-phase is chosen at build. Send the voltage, phase and plug type for your workshop in writing on the proforma invoice, because a welder built for the wrong supply is expensive to fix after it lands.
How do I check the machine before the container leaves China?
Ask for a 72-hour burn-in, a power reading at the gun within plus or minus 5 percent of rated output, and weld coupons on 2 mm stainless, 3 mm carbon steel and 2 mm aluminium sent with photos of the serial number. A live video call while the machine welds continuously tells you more than any certificate.
